How to Run Your E&O Renewal Report
This article assumes your E&O Category field is already set up and your projects are tagged — if not, start here first.
Running the report relies on column sets, the same way the R&D Tax Credit report does — see this article if you're not familiar with how those work.
Choose which module to run the report from
This is the one decision that's specific to E&O reporting: the report can be run from three different modules, depending on what your underwriter wants measured.
- Projects — reflects what was contracted or awarded during the reporting period (fee-based), regardless of billing or collection
- Invoices — reflects what was billed during the period (Net Billings). This doesn't tell you whether the money actually came in, only what went out on invoices.
- Income — reflects what was actually collected during the period (Net Income)
Most underwriters are looking for income, and that's typically the most accurate reflection of your firm's actual revenue for the period — but some firms report off Invoices instead, and a few base it on what they contracted, reported from Projects. Which one your firm should use is a conversation with your broker or underwriter, not a BaseBuilders decision.
Important: column sets are configured separately per module. If you want to run this report from more than one of the three (for example, both Invoices and Income), you'll need to build a separate E&O column set in each module — the underlying E&O Category field is the same, but the column set itself doesn't carry over between modules.
Step 1: Build (or select) your E&O column set
In whichever module you're reporting from — Projects, Invoices, or Income — set up a column set that includes E&O Category alongside the relevant financial fields (gross billings, subconsultant costs, and net, or the equivalent income/contract fields for that module). If you've already built this in a prior renewal cycle, just select the existing column set.
Step 2: Select your reporting period date range
Set the date range to match what your underwriter is asking for — typically the twelve months ending on your policy anniversary, or the calendar year, depending on how your carrier structures the application. You'll repeat this for each prior period your underwriter requests (usually the current and two prior years).
Step 3: Review, then export
Before exporting, scan the summary for anything that looks off — a category that seems unexpectedly high or low usually means a project was tagged incorrectly at intake, which is easy to fix. Once it looks right, export the report.
Repeat for each prior reporting period, then hand the exports off to your broker.
