Time Slips Fields That Can Auto-Pupulate
Time Slip Auto Fill
Overview
Time Slip Auto Fill pre-populates fields on a new time slip so users don't re-enter the same values every time. Which fields fill in depends on the type of time slip, and the values come from two places: the user's own defaults, or the user's most recent time slip on the same project. Three settings let you turn off the "most recent time slip" behavior.
Which fields auto-populate
Project time slips can auto-populate three fields. Proposal and admin time slips can auto-populate only the activity.
| Time slip type | Fields that auto-populate |
|---|---|
| Project | Phase, Activity, Billing rate |
| Proposal | Activity |
| Admin | Activity |
The rest of this article describes project time, where all three fields apply. For proposal and admin time, read "activity" wherever you see the three fields.
Option 1: User defaults on the first time slip
The first time a user records time to a project, the system fetches the defaults set on that user's record:
- Default activity: each user can be assigned a default activity.
- Default master billing rate: each user can be assigned a default master billing rate.
The billing rate fills in only if the user's default master rate has also been associated with the project. If the rate isn't associated with the project, the billing rate field stays empty. Phase has no user default, so the user selects it on the first time slip.
Option 2: The previous time slip on later entries
Once a user has entered time on a project, each new time slip on that project fetches three values from the most recent time slip on the same project:
- Phase
- Activity
- Billing rate
This means a user who keeps working in the same phase, on the same activity, at the same rate only has to enter the hours.
Turning off the previous time slip fetch
The Time Slip Auto Fill settings have three toggles, one for each field Option 2 fetches:
- Fetch Previous Activity
- Fetch Previous Billing Rate
- Fetch Previous Phase
Each toggle controls one field, so you can turn off any combination. When a toggle is off, the system no longer copies that field from the previous time slip. It falls back to the user's defaults instead, and if the user has no default for that field, nothing is auto-populated.
Because phase has no user default, turning off Fetch Previous Phase means new time slips always start with the phase empty.
Quick reference and troubleshooting
What a new project time slip fills in:
| Situation | Phase | Activity | Role (billing rate) |
|---|---|---|---|
| First time slip on the project | Empty | User's default activity | User's default master rate, if that rate is associated with the project |
| Later time slip, fetch toggle on | Previous time slip | Previous time slip | Previous time slip |
| Later time slip, fetch toggle off | Empty | User's default activity | User's default master rate, if associated with the project |
If a field comes up empty when you expect a value:
- Billing rate is empty on the first time slip: check that the user has a default master rate, and that the same rate is associated with the project.
- Activity is empty: the user has no default activity, and either this is their first time slip on the project or Fetch Previous Activity is off.
- Phase is empty on a later time slip: check that Fetch Previous Phase is on.
