Deactivating a User

Only an Account Administrator can deactivate a user.

When someone leaves your firm, deactivate their account rather than deleting it. No data is lost — the user record and all associated data remain in the system in perpetuity.

Steps to Deactivate a User

  1. Select your name and choose Settings.
  2. Go to User Management.
  3. Select the Edit button on any of your user count categories — Financial, Production, or Limited.
  4. Choose Modify Existing User.
  5. Select the user you want to deactivate.
  6. Choose Deactivate from the options.
  7. Select Save Changes.

Reviewing and Submitting

After saving, you'll see the change reflected as a decrease to your subscription — one user deactivated, reducing your license count by one. Select Review Changes to see the resulting credit, prorated to your current renewal period, then select Submit Changes to finalize.

Best Practice

When someone leaves the firm, deactivate their user record. BaseBuilders doesn't offer a way to delete a user — only deactivate. A deactivated user's record is never removed; it simply becomes inactive, and all data associated with that user (time slips, history, activity) remains in the system permanently.

Summary

Only Account Administrators can deactivate users. Go to Settings > User Management, select Edit on any user count, choose Modify Existing User, select the user, choose Deactivate, and Save Changes. Review Changes shows the prorated credit before you Submit Changes to finalize. All data associated with the deactivated user remains in the system permanently.
