How to Query Timesheets
Technically, timesheets themselves aren't queried the way other modules are — but this article covers the different ways you can control whose timesheet you're viewing and which time period it covers. (For querying individual time slip records, see a separate article on that topic.)
Selecting a Staff Member
The Users panel on the left lets you switch between staff members' timesheets, provided you have access to view them. You can:
- Select a name directly from the list to view their timesheet.
- Use the Search Users field to quickly find someone by name if you manage a large team.
- Run a Custom Query to filter the user list by title, name, profit center, or tags.
Tags are especially useful for recurring groupings — for example, tagging a set of users as "My Team" lets you quickly pull up and review timesheets for that specific group any time, rather than searching for each person individually.
Viewing Inactive Users
By default, only active users appear in the list. To find a former employee's timesheet, check Show Inactive Users. Inactive users then appear in the list with an "inactive" label next to their name.
Changing the Time Period
The timesheet view can be shown by Week, Pay Period, or Month, selected from the view toggle. You can move through time in a few ways:
- Use the chevrons to step to the next or previous period (week, pay period, or month, depending on your current view).
- Select the calendar icon to jump straight back to the current period.
- Select directly into the date range field to pick a specific date.
Switching the view (for example, from Week to Month) automatically jumps to the current month, current week, or current pay period for that view.
Best Practice
Use tags to group staff you review regularly — such as a specific team or department — so you can pull up their timesheets together with a single query rather than searching one at a time. Use Show Inactive Users only when you specifically need historical data for someone no longer active, since it's off by default to keep the everyday user list focused on current staff.
