Data Gathering - Contacts

Contacts include all the people associated with the entities that make up the Companies in our Address Book.

Contacts will go into what we think of as your Address Book. The Address Book is made up of four sets of data: Companies, Contacts, Addresses, and Phone Numbers. Each contact can eventually be linked to multiple Companies, Addresses, and Phone Numbers. Addresses won't be imported initially, but can be added later.

Each column of the spreadsheet is pre-mapped to data fields within the BaseBuilders system. You are welcome to leave columns and/or cells blank, but do not delete or add any columns.  Copy your data from whatever system(s) you are currently using and paste it into this spreadsheet. Keep the header row with field labels; it will be used when importing to verify the field mapping. Rename the four phone columns to match how you would like them to be labeled in your system.

Please carefully review your data before sending it to us. We do not want you to end up with duplicate data. When gathering your data, watch out for duplicate contacts with different names for the same person, such as Will & William, or Bob and Robert.

First Name: This should be the contact's preferred name, such as Doug rather than Douglas. You will have the opportunity to enter a formal name after they are in the system.

Last Name: Also known as the family or surname.

Title: (optional) While titles can be helpful, they are not required and are sometimes quite pretentious.

Company: The company name needs to be an EXACT match with the companies in the other template for the contacts to be linked with the company. "BaseBuilders LLC" and "BaseBuilders, LLC" would not match up because of the comma in one and not in the other. The contact will still be imported without a matching company name; however, they will be orphaned until they are manually linked with a company within the system at some later time.

Phone 1 through Phone 4: Each of these is optional. Rename the column titles to label the phone numbers, such as Cell, Mobile, or Direct.

Email: (optional) Our system can send emails on your behalf, so we recommend you include this information.
